Data Management Policy

Data Management Policy is Your Responsibility

Microsoft Office 365, SharePoint, OneDrive or OneNote are great tools for data sharing with the people within and outside of your company. I know it well; I use it myself! However, with these tools come great data management responsibility. Do you have a data management policy in place?

What is data management anyway? It is best described as a responsibility; your responsibility! Just about any organisation that exists today generates, uses, shares, stores and deletes data. Some data will be more sensitive, some personal, some more valuable and some just unusable and worthless junk. But all this data must be managed and protected in the right way, and this can be achieved by implementing a single policy and a set of rules for compliance, access, availability and storage, not to mention rules for security which is externally important and a huge topic. Octagon run educational seminars about all these topics each year! Because we know it is your responsibility and this is what data management is all about, and it is extremely important for your business to continue. And you must remember that data management is more complicated nowadays, because your data utilises the internet. The days when it was stored in a set of filing cabinets is long gone!

These days, you need to know what data you have, why is it important, where it lives, who has access to it, can it be shared externally, when it expires and how much it would cost your business if it was deleted, corrupted or stolen. Wouldn’t it be cheaper to protect it the first place? If you are unsure what tools and policies to use within your business to keep your data safe meet with me over coffee and I can talk you through your options.
